Executive Officer- Temp 3 months - £20.86 per hour – London / Hybrid

Local Authority is seeking an Executive Officer to support an Executive Director and the wider Departmental Management team at their West London offices.

This is a temporary position to start ASAP for an initial 3-month period and will pay £20.86 per hour.

The role is hybrid working 2 days per week at their offices in Hammersmith.

The Executive Officer will provide business support to Senior Managers in a prompt and professional manner, acting as the first point of contact for customers, colleagues, and partners. They will co-ordinate and service Cabinet Member briefings ensuring the provision of documents in an efficient and timely manner. Duties will include:
  • Work in a collaborative manner and effectively engage with MPs, Councillors, Executive Directors, Directors, Senior Managers, Service Heads, Central Government Officers, Chief Officers of other Authorities, Directors of external organisations, external partners and stakeholders and members of the public, as requested.
  • Be the first point of contact for Senior Managers, dealing with complex issues, sensitive calls, undertaking research effectively where possible, resolving issues immediately whilst demonstrating the highest levels of customer service and confidentiality.
  • Oversee and maintain the electronic in-box and diary of Senior Managers to maximise their time; highlighting urgent issues that need attention.
  • Manage the appointment diary for Senior Managers and Executive Director.
  • Manage monthly Cabinet Member briefings and Board Meetings and take minutes.
  • Work with project officers on projects and initiatives including researching and obtaining information.
  • Organise events, conferences, and seminars as required.
The ideal Executive Officer will have the following knowledge, skills and experience:
  • Experience of working in a support role and primarily dealing with inbox and diary management to a high level
  • Experience of event and meeting management
  • Minute Taking experience
  • Good written and verbal communication skills
  • Good organisational skills with the ability to prioritise and manage time effectively
  • Flexible and multi-skilled to support service provision accordingly and projects as required
  • Good IT skills including use of all Microsoft Office applications, with excellent skills in spreadsheets and databases
  • Experience of project work and research
