Accounts AssistantLocation: Malvern
Hours: 9 AM - 5 PM, Monday to Friday
Rate: £12.63 per hour

About the Role:We are seeking a diligent and detail-oriented Accounts Assistant to join our team in Malvern. This full-time position requires a candidate who is proactive and capable of managing a variety of accounting tasks. The ideal candidate will play a crucial role in the smooth running of our accounts department.
Key Responsibilities:
Purchase Ledger System:
- Process purchase invoices and track against orders and delivery notes.
- Identify and resolve disputes or discrepancies.
- Enter invoices into the ledger using Hubdoc, ensuring correct coding to nominal and budget codes.
Invoicing:- Create student invoices on Xero and send them to parents/agents.
- Produce monthly creditors lists.
- Post charges to student accounts and maintain accurate filing.
Payments and Reconciliations:- Raise weekly BACS runs for invoices due and post to the ledger.
- Perform monthly reconciliations of purchase ledger and bank accounts.
- Assist with month-end journals, accruals, and prepayments.
Credit Card and Expense Management:- Collate and reconcile credit card payments to ledgers.
- Calculate and manage expenses.
- Produce and analyse financial comparisons and data.
Support and Administration:- Assist with inquiries from students, staff, and agents regarding petty cash, pocket money, and student deposit accounts.
- Process new staff, including DBS applications and updating the single central register.
- Maintain and archive employee personnel files, ensuring GDPR compliance.
Payroll and Pensions:- Process monthly payroll, including statutory year-end returns and P60s.
- Maintain payroll records and answer staff queries regarding wages and deductions.
- Manage workplace and teachers' pension schemes, including monthly updates and year-end tasks.
Additional Duties:- Handle ad hoc duties as required.
- Manage the renewal of utility contracts.
Skills and Qualifications:
- Previous experience in an accounts assistant role is preferred.
- Proficiency with accounting software such as Xero and Sage.
- Strong attention to detail and excellent organizational skills.
- Ability to manage multiple tasks and meet deadlines.
- Good communication skills for liaising with suppliers, staff, and parents/agents.
- Knowledge of GDPR and payroll processes is advantageous.
