Part Time Business Support Administrator - Plymouth Youth Music Service

Location: Plymouth
Hours: 3 hours per day, 09:00am - 12:00pm
Assignment: Temporary position (March - August 2025)
Pay: £12.85 per hour

Plymouth Youth Music Service is seeking an organised and proactive Administrator to support our team in delivering high-quality music services to young people and schools across the city. This temporary role is perfect for someone with strong administrative experience, excellent communication skills, and a passion for music education.

Key Responsibilities:
- Provide administrative and reception support to the Plymouth Youth Music Service
- Manage instruments hire requests from individuals, schools, and ensembles
- Handle day-to-day administrative tasks, including processing invoices, taking minutes at meetings, and maintaining efficient administrative systems
- Assist with the logistics of scheduling instruments to schools on a termly basis
- Monitor stock availability and ensure proper storage of instruments
- Work closely with the Instruments Coordinator to manage, distribute, and maintain instruments, including keeping accurate records and supporting logistics
- Support with Music Hub events and assist in facilities management
- Assist in researching and compiling information for funding applications, as well as preparing evaluation reports for funders
- Help manage and develop social media platforms and the organisation's website to promote activities and engagement
- Actively participate in regular team meetings, contributing ideas and suggestions for improvement
- Undertake other duties as required to support the smooth running of the service

Skills and Qualifications:
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Previous administrative experience and understanding of office procedures
- Experience providing customer support via phone, email, and face-to-face
- Ability to manage and prioritise workload to meet deadlines
- Experience in maintaining records, financial documents, and customer accounts
- Strong customer care skills and the ability to handle inquiries tactfully and professionally
- Numeracy skills for handling calculations and ensuring data accuracy
- Strong literacy skills, including attention to detail in spelling, grammar, and punctuation
- Team-working abilities, with a focus on delivering cohesive services to customers
- Excellent time management skills to ensure punctuality and meet deadlines
- A high level of attention to detail and accuracy
