Full-time 37 hours per week Monday – Friday 9.00am to 5.00pm
Salary: £14.52 per hourPertemps are currently recruiting on behalf of our client, a well-known Public Sector organisation based near Brechin, for an Administrator to start immediately on a temporary ongoing basis.
Main Purpose of the Role:To provide a comprehensive secretarial/administrative service to support the clinical/administrative work of the Lead Consultants and Clinicians.
Key Responsibilities:- Provide all administrative support to the Lead Consultants and Clinicians
 - Establish and maintain effective mailing lists
 - Deal with and prioritise enquiries by phone and email
 - Organise meetings including venues, facilities and hospitality
 - Maintain a database of waiting list and waiting list times for audit and evaluation
 - Typing and production of all correspondence, reports, minutes, meeting papers and PowerPoint presentations
 - Registering and filing of all routine and confidential correspondence and upkeep of medical records
 - Input of all leave data into Scottish Standard Time System database (SSTS)
 - Maintain the Departmental filing system
 - Provide a comprehensive secretarial and administrative service to Clinical Neuropsychology
 - Update Trakcare and EMIS systems
 - Audio-typing, copy typing of routine and confidential letters, memos and reports
 - Maintain Daily Logs for Main Office Diary for Clinical staff
 - Operate a Bring Forward system for patients
 - Producing reports within tight deadlines
 - Deal with telephone and face to face enquiries
 - Provide secretarial support to Clinical staff and staff on training within the service.
 - Request Medical Records as required and liaising with Medical Records on a regular basis.
 - Typing of minutes, reports etc
 - Record and prepare draft minutes of meetings
 
 Key Skills and Requirements:- Previous experience in a fast-paced admin/secretarial role
 - Previous experience within NHS would be advantageous
 - Proficient and accurate typing skills
 - Excellent communication, interpersonal and organisational skills
 - Competent IT skills and able to pick up new systems quickly
 - Ability to work independently with limited supervision
 - Able to demonstrate calm, confident and competent demeanour
 - Flexible, supportive team-player
